How to Respond to Negative Google Reviews (Without Making It Worse)

By Pera Reply TeamSeptember 26, 20265 min read

A bad review isn't the disaster it feels like. A bad response to it is. Here's how to actually handle one.

The Review That Ruins Your Morning

Every business owner knows the feeling: a notification comes in, you open it, and it's a 1 or 2-star review. Your first instinct is usually wrong — defend yourself, argue the facts, or ignore it and hope it goes away.

None of those work. Here's what actually does.

Wait Before You Respond

If the review makes you angry, that's exactly when you shouldn't respond yet. An emotional response is almost always a worse response. Give it a few hours, even a day. The review isn't going anywhere.

Acknowledge Before You Explain

The instinct is to jump straight to context — "actually, what happened was..." Lead with acknowledgment instead. A short, genuine line that shows you heard them, before anything else:

"We're sorry your experience didn't match what we aim for, and we appreciate you telling us directly."

Everything after that lands better once the reader feels heard first.

Never Argue in Public

Even when a customer is factually wrong, arguing in the response does more damage than the original review did. Every future reader sees the argument, not just the complaint. Take specifics offline:

"We'd like to understand exactly what happened — please call our office so we can look into it directly."

Keep It Short

A good response to a negative review is 2-4 sentences. Long, defensive responses read as overcompensating, and they bury the one thing that actually matters: that you took it seriously.

Don't Try to Get It Removed

Flagging a legitimate negative review to have it removed is against Google's policies, and it doesn't fix the underlying issue anyway. A well-handled negative review, visible and responded to, often reads better to future customers than a suspiciously perfect profile with none at all.

What a Good Response Actually Looks Like

"We're sorry the wait was longer than we told you to expect, and we understand the frustration. That's not the standard we hold ourselves to. Please reach out to our office directly so we can make this right."

That's it. Acknowledge, take responsibility where it's due, offer a real next step, keep it short.

The Bigger Picture

A few negative reviews, handled well, tend to make a profile look more credible — not less. What actually damages trust is either ignoring negative reviews entirely, or responding defensively to them. Both are more within your control than the reviews themselves.
