5 Google Review Response Templates You Can Actually Use
Templates to start from, not copy-paste — the difference matters more than it sounds like it should.
A Word Before the Templates
These are starting points, not scripts. A response that's obviously copy-pasted — even a well-written one — reads as generic the moment a customer notices the same wording on someone else's review. Swap in a real name, a real detail from the review, and your own tone.
Template 1: The Straightforward 5-Star
"Thank you, [Name] — we're really glad [specific detail from their review] worked out well. We appreciate you taking the time to share this, and we're here whenever you need us again."
Template 2: The 4-Star With Room for Improvement
"Thanks for the honest review, [Name]. We're glad the overall experience was a good one, and we'll take your note about [specific issue] seriously — that's exactly the kind of feedback that helps us improve."
Template 3: The Mild Complaint (3-Star)
"We appreciate you sharing this, [Name]. It sounds like [specific issue] fell short of what we aim for, and we're sorry about that. We'd welcome the chance to make it right — please reach out to our office directly."
Template 4: The Serious Complaint (1-2 Star)
"We're sorry to hear about your experience, [Name], and we take this seriously. [Brief, non-defensive acknowledgment of the issue.] We'd like to understand exactly what happened — please call our office so we can address this directly."
Template 5: The Review With No Real Detail
Sometimes a review is just "Great service!" with nothing to reference. That's fine — keep it short and genuine rather than inventing detail that isn't there:
"Thank you for the kind words, [Name] — we really appreciate it. Don't hesitate to reach out anytime you need us."
The Pattern Underneath All Five
Every one of these does three things: acknowledges the customer specifically (not generically), matches the tone of what they actually wrote, and gives a clear next step where one's needed. That pattern matters more than the exact wording.
